Your event's emails
An event sends its own emails, by themselves, in the language chosen in its “Emails” or the website’s, with your website’s look. They are not a newsletter: they say why they arrive and, instead of unsubscribing, offer the links at their foot.
A registration added by hand, or one whose website is no longer online, takes the look of a website that carries the event; with none, the look of your latest email in Email, else a plain one with your account’s name.
Which ones
Section titled “Which ones”- The confirmation, with the date, the place or the link, your “A note in the confirmation”, and a calendar file to add it.
- Received, when it waits for your approval, and the waiting list, when it was full.
- Approved and refused, with the reason you wrote, if any.
- A place offered, when one frees up for someone on the waiting list, with a button to confirm it before it passes to the next.
- The reminder, before the event, to those with a confirmed place: “Reminder” sets when, “1 day before” unless you change it. “A second reminder” adds another, “For example a week before, as well as the one above.” Each goes once, to those with a place by then; someone who registers later already has the confirmation.
- Changed, when you save a new date, place or link and choose “Save and tell them”.
- The place, by itself, when an event whose place was to be announced gets it: to everyone registered, pending or on the waiting list, once.
- Cancelled, to the person who cancels, or to everyone when you cancel the event.
What they show
Section titled “What they show”- Where: for an event on site, the place with “See on the map”; while it is to be announced, that it is, and that an email comes when it is set. When only the area is shown on the website, the people with a confirmed place get the full address and the others the area, with “The exact address comes with your confirmation.” An event in person and online shows both: the place, and that it can also be joined online. For an online event, the link to join goes only to people with a confirmed place, in the confirmation, the approval, the reminder and the changes; the others read “Online. The link comes with your confirmation.” Each person gets their own link, which always leads to the event’s link as it is now: change it in “Details” and every link already sent leads to the new one at once. It works until 12 hours after the end, and stops when the registration is cancelled or refused.
- “Your entry code”: for an event in person, or in person and online, a QR code in the confirmation, the approval, the reminder, the changes and the place, to show at the door. “Show it at the door, on your phone or on paper. It is yours alone.” “Open my entry code” opens it on a page, and the calendar file links to it. Read The door.
- “See the event”: a link to the page of your website with the event’s registration, in the confirmation, received, the waiting list, approved, a place offered, the reminder and changed. When no published website carries the event, there is no link.
- “What you told us:”: the company, the phone, the comment and the answers to your own questions the person gave, in the confirmation, received, the waiting list and the email asking to confirm a registration. A long comment is shortened.
- “Questions? Just reply to this email.”: above their foot, in all of them but the email after the event. Replies go to the contact address confirmed for the website “See the event” links to, the one its contact form writes to; when it has none, to your Email reply-to address, or else to the holder’s sign-in address.
Write to those registered
Section titled “Write to those registered”Before the event, “Write to those registered” sends “A short notice from the event: a change, what to bring.” In the event’s “Emails”, press “Write a notice”:
- “Who receives it”: “With a confirmed place”, “On the waiting list” and “Pending approval”, each with how many. It leaves out those who asked for no more emails about the event.
- “Subject” and “Text”. The email adds the event’s name, when and where, “See the event” and “Questions? Just reply to this email.”, in the look of its other emails.
- “Send me a test” sends it to your own address first, to see it as it arrives.
To move the date, the place or the link, change them in “Details” instead: the people are told with a new calendar file. An event sends up to 3 notices a day, and none once it has ended or is cancelled. “Notices sent” lists each one with when, to whom and by whom.
The email after the event
Section titled “The email after the event”Once the event has ended, within 30 days, “The email after the event” goes once to everyone registered: “a thank you, the photos, the slides. Nothing to sell.” In the event’s “Emails”, press “Write the email”, with a “Subject”, a “Text” and up to three links, and “Send”. Before you send, it says who it goes to, for example “It goes to the 4 people registered, from the event.”, and how many it leaves out because they asked for no more emails about the event. Test registrations made while trying Events are left out.
“Ask how it was”, off unless you turn it on, adds “A rating from 1 to 5 and an optional comment, through a link in this email. Each person answers once.” The email shows the numbers from 1 to 5; each opens a page where the person can add a comment and sends it with a button, so a mail scanner opening the link records nothing. Answers come in for 30 days. The event’s “Overview” then shows “How it went”: how many answered, the “Average”, the “Answers per rating” and the “Comments”, each with the person’s name; “Registrations” and “Export” have each one’s rating too.
The email to those who did not come
Section titled “The email to those who did not come”Once the event has ended, within 30 days, and once someone was marked at “The door”, “The email to those who did not come” can go once to those registered who were not marked: “Nothing goes unless you write it.” In the event’s “Emails”, press “Write the email”, with a “Subject”, a “Text” and up to three links, and “Send”. It does not reach those who asked for no more emails about the event.
The links at their foot
Section titled “The links at their foot”- “Cancel my registration”, in every email above but refused and cancelled. Its page asks before cancelling.
- “I don’t want more emails about this event”, in the reminder, the email after the event and the one to those who did not come. It keeps the registration and stops only those emails, for that person and that event: a change or the cancellation of the event still reaches them. Its page asks to confirm with a button, because mail scanners open the links in an email by themselves, and while the event is ahead it also offers “Cancel my registration”.
- Manage my preferences, in all of them as well when Email is on and its domain is verified. It opens the person’s preferences page on your domain.
In the Panel, the event’s “Registrations” mark those who chose no more emails with “Reminder and after-event email off”, and say when they chose it.
When an email does not arrive
Section titled “When an email does not arrive”If an event’s email bounces or is marked as spam, the Panel‘s “Events” says so beside the event. In Studio, ask Tsurito to look into what happened.
