Send an email

An email is sent from the Panel, once it is Ready and Email is on, or in trial mode. Sending needs “Edit and send”, or being the holder.

  1. Open “Emails” and the email, then press “Send”.
  2. Choose who receives it.
  3. Send yourself a test, if you like.
  4. Choose when it goes out: now, or later.
  5. Confirm.

An email marked Ready that nobody has sent yet is not forgotten. It waits in two places, with “Send” beside it, for those who may send:

  • At the top of “Status”, under “Ready to send”: “This email is ready and nobody has sent it yet.” Each one reads since when and who marked it. “Open one to choose who gets it. Nothing leaves until you press Send.”
  • On the Panel‘s home, under “Needs you”: one item, with “Send” for one email or “See them” for several. “Ignore” leaves it out until the emails that are ready change.

A newsletter’s welcome email is not among them: it goes out by itself. Read Saved lists to send a Ready email to a list from the list itself.

An issue goes to the subscribers of its newsletter. A direct email goes to everyone who can receive its type.

Under “Recipients”, “A saved list” or “Only some, by conditions” narrow it. “A list or conditions only narrow it. Nobody without permission receives it.”

The count says how many match, and who is left out and why: no permission, they left, they are never written to again, or they already received it.

An email with languages is still one send, with one result. Each recipient receives the version in the language of their contact, or the main one when they have no language or the email has no version in it. The link to read it in the browser, and the pages to leave or keep receiving it, follow the version they received.

“Optional. It goes only to the address you sign in with.” Press “Send me a test”. With languages, choose first the language of the test.

“Now, or at a day and time you choose.”

  • “Now”: it goes out once you confirm, after a minute to undo it.
  • “Send later”: choose the “Day” and the “Time”. It is at least 5 minutes from now and within the next 90 days: “Choose a time at least 5 minutes from now.” or “Choose a time within the next 90 days.” otherwise.

The time is in the account’s time zone, named beside it, such as Madrid time. Until the account keeps one, it is this browser’s, and the first send scheduled keeps it. The holder changes it in “Plan and usage”, “Account”, under “Time zone”: “Scheduled emails go out at the times you choose in this zone.”

An account has at most 10 sends scheduled at once: “There are already 10 sends scheduled. Cancel one, or wait until one goes out.”

“Look at what goes out, then confirm. Nothing leaves before.”

  • “People”: the exact number. For a send later, about how many now: the people are “counted again when it starts”, so those who joined or left meanwhile are counted right.
  • “When”: now, or the day and time you chose, with the time zone, such as “Wednesday 21 October at 09:30, Madrid time”.
  • “From”: the sender, and a line such as “You send on behalf of Example Kitchen; it reaches only those with permission.”
  • “By language”: with languages, how many receive each version, such as “7 in Catalan, the main one”.
  • “How it arrives to”: the email as some recipients receive it, each in their version.

Some lines depend on the email’s type:

  • a Notices email reads “A notice carries no promotion. If this email promotes anything, send it as News and offers.”;
  • a commercial email reaching members or clients not on consent reminds you of the advertising exclusion lists. Read What you answer for.

Press the button with the number of people, such as “Send to 1 person”, or “Schedule for 1 person” for a send later.

In trial mode, confirming reads “Trial mode: it reaches only you and your domain”. Read Trial mode.

“You have a minute to undo it.” Press “Cancel” before the minute ends. “Until then, cancelling leaves nothing sent.”

A scheduled send has its minute too: at its time it starts, the people are counted again, and the first emails leave a minute later.

Its page reads when it goes out, such as “Goes out on Wednesday 21 October at 09:30, Madrid time.” “Until then you can move it or cancel it.”

  • “Move”: choose another day and time, and press “Move it”.
  • “Cancel the send”: nothing is sent, and the email is Ready again.

The email reads “Scheduled” until it starts, then “Sent”. Changing it cancels the send and returns it to Draft: saving it online from Studio, changing its subject or its category, restoring a version, or “Back to Draft”. “It is scheduled: changing it cancels the send and returns the email to Draft.” Studio asks first, with “Save and cancel the send”.

Only one send goes out at a time. A send whose time comes while another is going out reads “Waiting for the send before it. It starts as soon as that one ends.”

Each send reaches up to the account’s limit, the most recent contacts first. Those left wait for a later send. On the results, “Send to the rest” sends the same email to the people with permission it has not reached yet, with the same steps.
