Working as a team
Your account can have a team: people who work on its paid websites and its emails with you. You stay the account’s holder. Only you invite people, choose what they reach, change their level and remove them.
The team lives in your account, under “Team”.
What the team reaches
Section titled “What the team reaches”- One team per account. Up to 3 people besides you, counting pending invitations.
- It comes with a subscription. You can invite people once the account has a website with a subscription. Read Pay for a website.
- Paid websites only. Free websites stay yours alone.
Each person reaches one of two things:
- “Everything”: every paid website, newsletter and contact of the account, and whatever the account adds later.
- “Only what is chosen”: only the websites and emails you tick for them, from a list by kind: “Websites”, “Newsletters” and “Direct emails”. At least one, and up to 50.
What each choice gives:
- A website gives its content, its versions and its numbers, not its contacts.
- A newsletter gives its emails, its sends and their results, and only the contacts on it, including who left it.
- “All direct emails” gives the direct emails (Notices, News and offers, Invitations) and the contacts who can receive them.
Only what exists and is paid can be chosen: paid websites, and newsletters while Email is on. Something chosen that stops being paid stays in the list, reads “Not reachable now”, and comes back when it is paid again. Removing a website takes it out of every list.
With “Only what is chosen”, what belongs to the whole account stays with you and with people who reach “Everything”:
- Making or renaming a newsletter
- The sender, the postal address and the rest of preparing Email
- Types of email and contact categories
- Adding a contact without a permission, or importing contacts only as contacts
- Asking a contact to leave everything
- Deleting a contact who also receives other emails of the account. Ending what they receive from what you reach stays possible.
They see those greyed out, saying why.
Some things stay yours:
- The account
- Its payments and invoices
- Each website’s subscription
- Domains
- Where the contact form’s messages go
- Switching visitor numbers on or off
- What happens at the limit
- The badge
- Taking a website offline
- Making new websites
- Email’s sending domain, asking for its review and accepting its data processing terms
- The team itself
The team sees those parts greyed out, saying that only you manage them. In “Team” they see the same lists, with your actions greyed out, saying why.
When a website is handed over to you
Section titled “When a website is handed over to you”Someone who made a website for you can hand it over to your account. When you accept it, they join your team with “Only what is chosen” on that website, at “Edit”, and they count in your team like anyone else. You can change what they reach, their level, or remove them, as with any member. If your team is full, the website still arrives and they are not added. Read Hand a website over to your client.
The three levels
Section titled “The three levels”Each person has one level:
- “View” looks at websites, versions and visitor numbers, and changes nothing.
- “Edit” also publishes websites and brings back versions. It is the usual choice, and it comes chosen.
- “Edit and send” also sends emails, sets the sender and the postal address, and works with contacts, once Email is on or in trial mode. Declaring a basis, recording that someone asked to leave, deleting contacts, types of email, imports and exports need it. Read Contacts and Publish and categorise.
Invite someone
Section titled “Invite someone”- Open your account and press your account at the top of the sidebar: “Team” opens.
- Press “Invite” at the top, and write their email in “Their email”.
- In “What they reach”, leave “Everything”, or choose “Only what is chosen” and tick what they will work on.
- Choose their “Level”.
- Press “Send the invitation”.
They get an email with the link. If they have no account yet, they make one with that same email. When you chose for them, the email and the invitation page name what you chose.
You need your email address confirmed to invite. Read Sign in and your account.
Pending invitations
Section titled “Pending invitations”The invitation waits under “Invitations”, in the Team’s list beside “Members”, until it is accepted. “Resend” and “Withdraw” are in “More”, at the end of its row.
- One link, 7 days. The link works once, for 7 days.
- “Resend” sends a new link, valid 7 days from then. The old link stops working.
- “Withdraw” ends it at once.
- It counts. A pending invitation counts among the 3 people, even once it has ended, until you withdraw it.
- A few a day. An account sends up to 5 invitations a day, resends counted.
Accept an invitation
Section titled “Accept an invitation”- Open the link in the email.
- Press “Sign in” with the email the invitation went to. If you have no account yet, press “Create an account” and use that email.
- Press “Accept the invitation”.
You land on the account’s websites. If you are signed in with another email, the page asks you to sign in with the right one.
The holder gets an email when you join.
Move between accounts
Section titled “Move between accounts”When you work in another account, the top of your account’s sidebar becomes a menu.
- Press your account’s name at the top of the sidebar.
- Choose your own account, shown with its name, or “My account” when it has none. Or choose the account you work in. Your level shows under each one.
In an account you work in:
- “Websites” lists only its paid websites, or only the ones chosen for you.
- With “Only what is chosen”, Websites, Emails and Contacts say “You see only what Ana chose for you”, with the holder’s name. In Studio, a copy on your computer of a website or an email that is no longer chosen for you reads “Not in what you reach”: it stays on your computer, and it is not published or saved online from there.
- “Account and settings”, at the bottom of the sidebar, stays your own: “Account” and “Your data” are yours.
- “Plan and usage”, in the Panel, shows with the plan, the invoices and the payment greyed out, saying that only the holder sees them. In Studio, the assistants’ usage in “Account and settings” is your own.
- What your level does not allow shows greyed out, saying who to ask.
Change someone’s level
Section titled “Change someone’s level”- In “Team”, under “Members”, open “More” at the end of the person’s row.
- Choose “Change level”, then the new level.
It applies straight away. No email is sent for it.
Change what someone reaches
Section titled “Change what someone reaches”- In “Team”, under “Members”, open “More” at the end of the person’s row.
- Choose “Change what they reach”.
- Choose “Everything”, or “Only what is chosen” and tick what they will work on.
- Press “Save”.
It applies from their next step, in the Panel and in Studio. No email is sent for it. Going back to “Everything” forgets the ticks.
Seeing people’s data
Section titled “Seeing people’s data”In the app’s Panel, Tsurito sees people’s first names only when someone allows it. You, the holder, can always allow it. A member can only when you let them:
- In “Team”, under “Members”, open “More” at the end of the person’s row.
- Choose “May let Tsurito see people’s data” and switch it on.
It is off by default. While it is on, that person may let Tsurito see first names of contacts and of those registered, always asked first. What Tsurito sees goes to their own Claude or ChatGPT. Email addresses, phones, postal addresses and notes never do. Read What it may see of your people.
Remove someone
Section titled “Remove someone”- In “Team”, under “Members”, open “More” at the end of the person’s row and choose “Remove”.
- Press “Remove from the team”.
They stop reaching the account from then on, and we let them know by email. What they already brought to their computer stays there: the copies of websites in their app.
Leave a team
Section titled “Leave a team”- Choose the account in the menu at the top of the sidebar, then “Team”.
- Open “More” at the end of your own row and choose “Leave”.
- Press “Leave the team”.
You stop reaching the account, and the holder gets an email. The copies of websites in your app stay on your computer.
When there is no subscription
Section titled “When there is no subscription”If the account has no subscription any more, its people and invitations stay, and they have no access to anything. In the menu the account shows “Nothing to reach now”. The same happens to someone with “Only what is chosen” when nothing chosen for them is paid now.
When the account has a subscription again, everything comes back by itself.
If the account is closed
Section titled “If the account is closed”Closing the holder’s account ends its team the same day: its people stop reaching it, and invitations still waiting end. Read Close your account.
