Publish and categorise

An email stays on your computer until you press “Save online”. Then it is in your account, in its category, and your team sees it in the Panel.

Saving online needs Email for your account, on or in trial mode. Studio says how it is under the title of “Emails”, and in an email’s “Save online” when it cannot be saved, such as “Email is off: you can make and export emails; saving online needs Email.”, with “Prepare Email”, which opens the Panel. Until then, “Save online” is greyed out with that reason. Making and exporting emails never need it.

Every email online has one category:

  • A newsletter, such as “Monthly news”. Its emails are its issues, and they go to its subscribers. Each newsletter keeps its own subscribers.
  • “Direct”, with its type, such as Notices. It goes to the contacts you choose, among those the type allows. Read Types of email.
  1. Open the email in Studio.
  2. Press “Save online”.

With a category, that is all. Without one, “Choose a category” opens with the best guess already chosen:

  • one of your newsletters;
  • “A new newsletter”, with “Its name”;
  • “Direct”, with its “Type”.

Press “Save online” to confirm. “Every email online has one: a newsletter, or Direct with its type. You can change it until it is sent.”

A new newsletter is made with its first email. A name already used joins that newsletter. Each picture goes up once: a later save does not send it again.

It needs:

  • Email for your account: on, paused, or in trial mode once its terms are accepted. Otherwise Studio says “Saving online needs Email on, or in trial mode, for this account.” and offers “Open the Panel”.
  • The level “Edit”, “Edit and send”, or being the holder.

Then the email reads “Saved online · Draft” or “Saved online · Ready”. Once you change it here, it reads “Changed here since it was saved online” until you save it again.

Until it is sent, an email online can move to another newsletter, to a new one or to “Direct”:

  • in Studio, under “Category” in “Edit”, “Your email”: “It is online, so it keeps a category. You can change it until it is sent.”
  • in the Panel, under “Category” on its page: press “Save the category”.

A change made in one shows in the other. A Ready email goes back to Draft. Once sent: “It was sent, so its category stays.”

When a team member saved it online after you brought it here, Studio says “This email changed online”, with who and when:

  • “Bring the latest”: “Your changes here are replaced by the email online.”
  • “Replace it”: “The email online is replaced by yours here.”
  • “Cancel” leaves both as they are.

Emails your team saved online that are not on this computer are under “Only in your account” in the list, with their category. Press “Bring to this computer” to work on one. “Open in Studio”, in the Panel, brings it too, or opens it when it is already here.

Every Save online keeps a version of the email: the whole email as it was saved, its languages included, with who, when and from where. “Every Save online keeps a version, the last 20.” The version a send used is marked “Sent” and is always kept.

  • In the Panel, “Versions” is at the end of the email’s page. Each one reads who and when, such as “from Studio” or “subject changed on the web”, and its subject. “View” shows that version’s preview.
  • In Studio, “Versions online” is in the email’s “Save online”.

Press “Restore” to go back to one. “Restoring one makes a new version equal to it and returns the email to Draft.” Nothing is lost: the version you leave stays in the list. In Studio, the restored email comes to this computer by itself; when you have changes here that are not saved online, “This email changed online” lets you choose what to keep.

Restoring needs “Edit”. A sent email keeps its versions and makes no more.

The history of your assistant’s tasks is something else: it stays on this computer, to undo a task’s changes. Versions are online, one for each Save online.

Ready says that an email passes every check and could go out as it is. It is marked in the Panel.

  1. In the Panel, open “Emails” and the email.
  2. Press “Mark as Ready”.
  3. When something is missing, it reads “It cannot be marked Ready yet:” with each reason.

Ready checks the content, as “To fix” does in Studio. It also needs the sender’s name: the newsletter’s own, or else the account’s. “The sender’s name is missing. Add it in Email, under Status.” Once Email is on, it needs the postal address too; in trial mode, emails go without it until it is given in “Status”.

Any change returns a Ready email to Draft, its subject and its category included. “Back to Draft” does it on purpose.

“Emails” has the same shape as “Websites” and as Studio‘s list. On the left, “Status” comes first: how Email is and everything to get it ready (read Prepare Email). Then “All”, “Draft”, “Ready”, “Scheduled” and “Sent”, each with how many it holds; then “Newsletters” and “Direct emails”: each newsletter and each type of direct email, with its icon, counted within the state you are in. A category narrows the list; press it again to see them all. The + beside “Newsletters” makes a “New newsletter” straight away, with its name and no email yet. The button beside “Direct emails” opens the types, to change them (read Types of email). At the foot, “History” lists every send (read Results and history). Until Email is in trial mode or on, what cannot be used yet is greyed out with the reason. On a phone, the same choices are in a menu above the list.

Above the list, “Find an email by name or subject” and the order: “Last changed first”, “By name” or “By state”. The three-dot menu of an email holds “Open in Studio”, “Make a copy” and, for a newsletter, “Rename the newsletter”.

An email’s page keeps the list on the left, with its category chosen. Its “Preview”, its “Subject” and its “Category” are below the title, and beside the title are “Mark as Ready” or “Back to Draft”, the three-dot menu with “Make a copy” and “Open in Studio”, and “Send”. “Emails are made in Studio. Open one there to change more than its subject and its category.”

A Ready email is sent with “Send”. Read Send an email.

A newsletter is renamed in Studio or in the Panel, whether it is online or still only on this computer:

  • In Studio, choose it in “Emails” and press “Rename the newsletter” in the three-dot menu beside its title, or double-click its title. “Give it the name its readers will see.” Press Enter to rename it.
  • In the Panel, use “Newsletter settings”, below.

A name another newsletter has is refused: “A newsletter with this name already exists.”

The new name is the same everywhere: in Studio, in the Panel and in its sign-up forms. Emails already sent keep the name they went with; its subscribers see the new one in the next emails and on their preferences page.

In the Panel, choose the newsletter under “Newsletters” and press “Newsletter settings”. They hold:

  • “Name”: “The newsletter is called this here and in Studio.” Press “Save the name”.
  • “Sender”: “Who this newsletter’s issues come from. Each field left empty uses the account’s.” It holds the “Sender’s name”, the “Sending address”, the “Reply-to address” and the “Postal address”. The sending address must be on your account’s verified sending domain. Press “Save the sender”.
  • “View” reads emails and exports them. Studio shows the changes greyed out, saying that they need Edit and to ask the holder, by name.
  • “Edit” makes emails, saves them online, changes their subject and category, marks them Ready, duplicates them and renames newsletters.
  • “Edit and send” also sets a newsletter’s sender and sends.

The holder can do everything. Read Working as a team.
