Registrations
Each event’s page in the Panel has “Registrations”, with each person, their state, their “Places”, where it came “From” and when.
Their states
Section titled “Their states”- “Registered”: they have a place.
- “Pending”: with “Registrations are approved by hand”, it waits for you.
- “Waiting list”: the event was full; when a place frees up it is offered to the first who fits, who confirms it from the email.
- “Refused” and “Cancelled”: they no longer have a place.
Choose rows to “Approve”, “Refuse” (with an optional reason, which “goes in the email”), “Give a place” or “Cancel”. Each person gets the email of what changed.
For an online event, or one in person and online, “New join link” gives the chosen people a new link of their own: the one they had stops working, and they get the confirmation again with the new one. Use it when a link was passed on to someone else.
The door
Section titled “The door”For an event in person, or in person and online, every confirmed registration gets its own entry code: a QR code in the confirmation, the approval, the reminder and the changes, which also opens a page with the code to show from a phone. The calendar file carries the link to that page. When a registration is cancelled or refused, its code stops working.
At the event, open “The door” in the event’s page, in the Panel on the web or in the app, on a phone or a computer. Any member who has the event can use it, also with View.
- “Scan an entry code” opens the device’s camera: “Point the camera at the code in the email, on a phone or on paper.” Each code read marks the person as arrived with all their places, and says “Welcome” with their name; a code read again says when they arrived, and one that is not valid says so.
- “Search by name” finds anyone without the code, with “All”, “Missing” and “Arrived”. “Arrived” marks them; “Undo” takes it back.
- Places: for a registration of several places, the minus and plus buttons say how many came.
Above, how many registrations arrived and how many are missing, with the places. Each mark is kept on the device and sent again when the connection fails: “No connection. Arrivals are kept on this device and saved when it comes back.” A mark sent twice, or one made earlier and arriving later, changes nothing. The list refreshes by itself every minute, so several doors see each other’s arrivals. In “Registrations” each person shows “Arrived” and when, the contact’s page too, and “Export” has the places that arrived and the time. Tsurito in Studio sees only how many arrived and how many are missing.
After the event, “The email to those who did not come” is in the event’s “Emails”. Read Your event’s emails.
Add one by hand
Section titled “Add one by hand”“Add a registration”: “For someone who asked you to register them. They get the confirmation email.” Tick “This person asked to register”. “Their address is used only for this event.” When the event asks for a company, a phone or a comment, the dialog has them too, never required there. Your own questions and the rules box are only on the website’s form.
Export and Contacts
Section titled “Export and Contacts”What each person gave for the company, the phone and the comment shows in the list under “Details”, and so do their answers: “See answers” opens them, with when they accepted the rules and, after the event, their rating. “Export” gives a file with the registrations, with all of it in its own columns: one per question, the time the rules were accepted, the rating and its comment, and the places that arrived at the door with the time. They stay with the registration, never in the contact, and go when the registration or the contact is deleted. “Open in Contacts” shows the same people in “Contacts”, where the conditions “registered for”, “pending for”, “on the waiting list of”, “invited to and not registered” and “cancelled from” choose them by event. Each contact’s page lists their events and states, and their history says when they registered, were offered a place or cancelled.
Registering allows only that event’s own emails. Ticking “Tell me about future events.” gives permission for Invitations, so the next invitation can reach them.
What happens at what is included
Section titled “What happens at what is included”Each month includes a number of registrations. The holder chooses in “Events”, “Status”:
- “Carry on with extras”: registrations keep arriving, and each block more is added to your next invoice.
- “Stop at what is included”: at the limit your forms say “Registrations are closed” until next month, and nothing more is charged.
“What needs you” warns as the month gets near it and when it is reached. Above both stands the most an account takes a month, which closes the forms whatever the choice.
